1. Our commitment
A charitable donation is ordinarily a completed gift and is not returnable. We nevertheless take the view that no one should be out of pocket because of a mistake, a misunderstanding, or a change in their own circumstances. We would far rather refund a gift than keep money that somebody needs back.
2. When we refund
We will refund a donation in full in each of the following cases:
- Duplicate charge. The same gift was processed more than once. Refunded in full, always, with no time limit.
- Incorrect amount. You intended to give a different amount — a mistyped figure, a decimal in the wrong place. We refund the difference, or the whole amount if you prefer to start again.
- Unintended recurring gift. You believed you were making a one-time donation and a monthly gift was set up. We cancel the recurring gift and refund every charge made in error.
- Unauthorised use of your card. Refunded in full immediately on notification, and we will assist your bank with its investigation.
- Change of mind, within 90 days. If you simply wish to reverse a donation made within the last ninety days, ask us and we will refund it. You do not have to give a reason and we will not ask for one.
Requests made more than ninety days after a donation are considered individually by the board. Where funds have already been disbursed to families we may not be able to reverse the gift, but we will always tell you honestly and promptly what we can and cannot do.
3. How to request a refund
Contact us by either route below. There is no form to complete.
- Email: bepartners@gmail.com
- Telephone: 718-969-9705, Monday to Thursday 9:00–17:00 ET
It helps if you can tell us the approximate date of the donation, the amount, and the name the gift was made in. We do not need your card number and will never ask you for it.
4. How long it takes
We approve straightforward refunds — duplicates, wrong amounts, unintended recurring charges — within one business day of hearing from you. Other requests are answered within three business days.
Once approved, the refund is issued to the original payment method. Your bank then needs five to ten business days to post it to your account; that part is outside our control. We send you written confirmation the moment the refund is issued at our end.
5. Cancelling a monthly gift
You may cancel a recurring donation at any time. There is no minimum term, no notice period and no cancellation fee.
- Email or telephone us using the details above.
- We action the cancellation within two business days and confirm in writing.
- Cancellation stops all future charges. It does not by itself reverse charges already taken — if you would like a past charge refunded as well, say so and we will deal with it under section 2.
- You may also reduce or pause your monthly gift instead of cancelling. Many donors do this during a difficult period and resume later; we treat it as entirely normal and nobody will call to ask why.
6. Failed and retried payments
If a recurring charge is declined, our payment processor may retry it over the following days in accordance with its standard schedule. After repeated failure the recurring gift is suspended automatically and we will contact you once, by email, to ask whether you would like to update your details. If we do not hear back, the gift stays cancelled. We do not pursue donors for missed payments.
7. Effect on your tax receipt
A refunded donation is not deductible. Where a refund is issued after a receipt has been sent, we will issue a corrected receipt showing the adjusted amount, and the correction will be reflected in your annual consolidated receipt each January.
8. Chargebacks and disputes
If you do not recognise a charge from us, please contact us before raising a dispute with your bank. We can almost always resolve it the same day, and a direct refund reaches you faster than a chargeback, which typically takes several weeks and costs the charity an additional processing fee.
That said, if you would prefer to go through your bank, that is entirely your right and we will cooperate fully with its investigation.
9. Non-card donations
Donations by cheque, bank transfer, Zelle or donor-advised fund grant are covered by the same principles. Refunds of these are issued by cheque or bank transfer to the original donor, and may take longer to arrange — typically up to fifteen business days — because they require dual authorisation on our side. Grants received from a donor-advised fund are returned to the sponsoring organisation rather than to an individual, as required by those sponsors' own rules.
